1. Introductions
2. Purpose - This committee will be responsible for hospitality events provided in the
Regional Suite during the Boule. The committee will be responsible for collection of
chapter assessments and circulation of information pertaining to chapter responsibilities
related to operation of the Suite. The committee will announce and extend invitations to
all events. The committee will implement the program during the Regional Luncheon at
Boule.

7. Committee Assignments Sub-committee chairs
Luncheon Arrangements - Contact National Office/Executive Director to inquire about
any arrangements that need to be executed at the Regional level.
Decorations - Discuss decorations that coincide with our theme. Call National
Office/Executive Director to determine if National Office or the Region is responsible for
the flowers on the luncheon tables.
Protocoi/Regional Director's Suite/Hospitality - Discuss food and decorations for the
reception and the suite. Discuss gifts and other amenities for the Regional Director and
other distinguished guests.
Program/Music - discuss the program/entertainment for the luncheon.
Souvenirs - Discuss other possible customized souvenirs for the Far Western Region.
Communication - Responsible for communication, letters, and notices between the BHC
and the Region.
Technology Presentation - Responsible for gathering and organizing the presentation
for the luncheon.

ROSEN CENTRE HOTEL BANQUET
AGREEMENT
All reservations and agreements are made upon and are
subject to the rules and regulations of the Hotel and the
following conditions:
GUARANTEES
Guaranteed attendance figures for all private functions must be
communicated to the Hotel's Catering Department by 12:Noon
seventy-two (72) hours prior to the date of each function. This
attendance figure will be considered a guarantee not subject to
reduction and represents a minimum number of attendees for
which the hotel will charge. The Hotel will not be responsible
for providing identical services for more than five (5) percent
over guaranteed attendance up to 1000 guests and three (3)
percent over guaranteed attendance in excess of 1000 guests.
Guarantees for events on Sunday, Monday, and Tuesday are
due by 12:Noon on the preceding Friday. If no guarantee is
received, the projected number reflected on the Banquet Event
Order (BEO) will be considered such and you will be charged
for that number or the number attending, whichever is greater.
TAX
Federal, state, and municipal taxes which apply or may be
imposed in conjunction with this agreement are in addition to
herein agreed upon pricing for services rendered and the
patron agrees to pay for them separately.
SERVICE CHARGE
A service charge of 20% will be added to all food, beverage,
and function space rental added to the account. An additional
$75.00 labor charge will apply to all banquet checks with a
guarantee of nineteen (19) or less.
FOOD & BEVERAGE
All food and beverage items must be supplied and/or prepared
by the Hotel. The patron or any of the patron’s invitees or
guests shall bring in no food or beverage. Incense restrictions
prohibit the patron from removing any food and beverage from
the premises.
SIGNAGE and BANNERS
The Hotel reserves the right to approve all signage in the
banquet and meeting areas, as well as all public space areas.
All signs must be professionally printed. Printed signs must
be free standing or on easels. The Hotel will assist with the
placement of all signage and banners and depending on the
nature of the assistance required, a labor charge will apply.
PUBLIC SPACE:
The Hotel will not be responsible for personal items left
unattended in public areas. Personal items include but are not
limited to lap top computers, purses, cellular telephones,
pagers, etc. Public space is defined as any area of the Hotel
other than the guest hotel room or the Hotel safe. Public space
includes but is not limited to salons, meeting rooms,
restaurants, lobby area, storage rooms, gift shops, rest rooms,
health clubs, hallways, etc.
HOLD HARMLESS
The CLIENT of this document hereafter referred to as
CLIENT assumes entire responsibility and hereby agrees to
protect, indemnify, defend and save the ROSEN CENTRE
HOTEL, ROSEN HOTELS & RESORTS, INC., and the
affiliates and subsidiaries of each, the officers, directors,
agents and partners of each (“indemnified Parties”) harmless
against all claims, losses, or damages to persons or property,
governmental charges or fines and attorney’s fees arising out
of or caused by the HOTEL’ S actions or inactions or CLIENT
installation, removal, mainentance, occupancy or use of the
ROSEN CENTRE HOTEL premises or a part thereof.
LOST and FOUND
The Hotel will not accept any responsibility for damage or loss
of any merchandise or properly left in the Hotel, before,
during, and/or after any function.
FUNCTION ROOMS
Function rooms are assigned by the Hotel based upon the
guaranteed minimum number of guests anticipated for each
event. The Hotel reserves the right to reassign function space
based upon fluctuations in anticipated attendance figures.
Rental and/or labor fees will apply in instances where
attendance drops and set up requirements are extraordinary.
DAMAGE
Patrons agree to be responsible and reimburse the ROSEN
CENTRE HOTEL for any damage done to the Hotel by the
patron and/or patron’s guests. The Hotel may require security
guards to be provided at the patrons' expense. Only Hotel
authorized security may be used.
OUTDOOR FUNCTIONS
The ROSEN CENTRE HOTEL reserves the right to make
the decision to move scheduled outdoor events indoors to
assigned backup space in the event of inclement weather. An
additional service charge will apply for outdoor events: 1)
attendance up to 100 guests, a flat fee of $300.00, or 2)
attendance in excess of 100 guests, a fee of $3.00 per person.
PAYMENTS
Payment is required seventy two (72) hours in advance of the
function unless other arrangements have been established to
the satisfaction of the Hotel, in which event all master account
charges will be paid prior to departure.
CONTRACTUAL LIABILITY
Performance of this agreement is contingent upon the ability of
the Hotel management to complete the Same, and is subject to
labor troubles, disputes, or strikes, accidents, government
(federal, state or municipal) requisitions, restrictions upon
travel, transportation^ foods, beverages or supplies, and other
causes whether enumerated herein or not, beyond control of
management preventing or interfering with performance. In
no event shall the ROSEN CENTRE HOTEL, or Tamar
Rosen, Inc. be liable for the loss of profit or for other similar
or dissimilar collateral or consequential damages whether
based on breach of contract, warranty or otherwise.
