ADJOURNMENT July 21,2003 Dear CSUN Student Government, The Rebel Pride Council Family Weekend Committee and the Department of Student Involvement and Activities request your assistance in sponsoring Family Weekend 2003. Family Weekend 2003 will be on November 7 - 9th with activities on the UNLV campus and at the Rio Casino Resort. Families will be welcomed Fiiday with Welcome Tables at the Moyer Student Union and will be given packets of information and a detailed schedule of events for the weekend. The festivities will officially kickoff Friday evening with an opening dinner on Pida Plaza. Following dinner, families will be able to participate in a Rebel Rally to pump up for the next day's game. Saturday morning families will be invited to attend the Family Weekend Tailgate Picnic at the Rebel Experience before the football game. A block of seats has been reserved for families to purchase tickets in the "Family Weekend" section at Sam Boyd Stadium and experience Rebel Football with their students. Family Weekend Breakfast on Sunday morning will be the closing activity. The breakfast will be held at the Voo Doo Lounge and Cafe at the Rio Casino Resort. Families will be able to enjoy a spectacular view of Las Vegas from the 50th floor before they leave for their respective homes. It is our hope that CSUN will once again sponsor this UNLV tradition. We are seeking a co-sponsorship of $8,000. We appreciate any support CSUN can provide to help make Family Weekend 2003 a success. Through the various Family Weekend programs and events, it is expected that: • Participants will express pride in UNLV • Participants will learn to value participation in campus traditions and events throughout the year • Participants will express an enhanced sense of connection to the UNLV campus community • Participants will feel they are more invested in their campus experience through active participation in the planning process for these events and activities Family Weekend 2003 will mark the 6th annual Family Weekend. Over the last four years Family weekend has grown considerably. Only a handful of families attended the first Family Weekend in 1998, but since then participation has grown. Family Weekend 2002 hosted over 175 families and we expect more in 2003. Family Weekend 2003 is making an exciting change and we are bringing Family Weekend back to campus. For the past four years, area casino hotels have been the venues for the Friday dinner and Sunday brunch, but this year it was decided it was time for a change. The Family Weekend committee hopes to attract local and returning families with a variety of locations throughout the weekend. Friday Kickoff Dinner and Rally will take place on Pida Plaza. The Saturday Tailgate Lunch will be held at the Rebel Experience area at Sam Boyd Stadium and the Sunday breakfast will be hosted at the Voo Doo Cafe and Lounge at the Rio Casino Resort. • The Family Weekend committee is a part of the Rebel Pride Council which is a student run organization that plans all campus wide events. • All UNLV students are invited to bring their families and/or friends and attend all or one of the events. • Students whose families cannot attend Family Weekend are invited to attend all or one of the events • Student organizations are encouraged to host events over Family Weekend and will be invited to showcase their organizations during check-in. • Family Weekend brochures are mailed to all UNLV students (approximately 20,000) • Family Weekend information is shared with students and families at new student orientation and international student orientation • Multiple facets of advertising are used: direct mailings, alumni newsletter, UNLV website, awareness weeks and information tables on campus, posters and on campus marketing • Family Weekend information is shared with all UNLV faculty and staff through e-mail and Campus Awareness and Involvement invitations. Family and Student Outreach • 20,000 Brochures are mailed to UNLV students • Spring Awareness Week - information tables were set-up at various locations on campus and collected over 150 student interest forms. In addition to the tables, table tents, posters, and flyers were distributed around campus. • 3,000 Save the Date postcards were mailed to all students with less than 30 hours and to all addresses collected during the awareness week. • A Save the Date postcard and letter was included in the Campus Housing confirmation packets mailed to 1,500 students. • Article in the Student Life News Orientation newsletter sent to all incoming students. • Save the Date postcards and letters were available at the Admissions Office and Student Development Center. • An interest form was added to the Family Weekend website tb collect information from interested families. Over 50 addresses have been collected. • Online registration process will be added to the Family Weekend website in August. • A Fall Awareness Week is scheduled for September. Information tables will be staffed at various locations across campus, flyers, table tents and posters will advertise Family Weekend. *Examples of some of the outreach materials are attached. CSUN Recognition CSUN logo on awareness posters and Family Weekend brochure, mailed to 20,000 students. CSUN will be provided the opportunity to staff an information table on Friday, November 7, during the Family Weekend Check in at Moyer Student Union. CSUN is invited to all Family Weekend events. The Executive Board, Senators and Directors are invited to attend one Family Weekend event for use as a work event. Information about the events and a signup sheet will be distributed in the fall. The Family Weekend Committee will verbally recognize CSUN at all events Provide a great program to students and their families!! Schedule of Events UNLV Family Weekend is a fun and exciting opportunity for families to learn more about the University of Nevada, Las Vegas and to share in some of their student's experiences. All family members, friends of UNLV students and UNLV faculty and staff are encouraged to participate FRIDAY, NOVEMBER 7th Welcome Tables 12:00 p.m. - 5:30 p.m. Moyer Student Union Lobby or Information Desk Family Weekend tickets and welcome packages will be distributed. UNLV parking permits will be available if families are planning on being on campus earlier than 12pm. 3:00 p.m.-5:00 p.m. UNLV Student Groups will be invited to showcase the mission, purpose and activities of their organizations during the Welcome Tables and check-in. Dinner on the Plaza 5:30 p.m. - 8:00 p.m. Pida Plaza, UNLV Campus Families are invited to participate in the opening kickoff event. A dinner buffet will be served, followed by a special Rebel Rally planned by the Rebel Spirit Committee. Families will be able to socialize with other Family Weekend participants, UNLV students, faculty and staff, and be able to obtain a sense of pride and connection to the UNLV campus. $16/person SATURDAY, NOVEMBER 8th Rebel Family Tailgate Picnic 2 Hours prior to the game "Rebel Experience" at Sam Boyd Stadium Families will enjoy the "Rebel Experience" - complete with live entertainment and Rebel Spirit! A lunch buffet will be served by Applebee's. $10/person UNLV Rebels vs. San Diego State TBA Sam Boyd Stadium Families will be able to sit with their student in the "Family Weekend" section for an affordable ticket price. UNLV Athletics has agreed to recognize the UNLV families during the game. $13/person. SUNDAY, NOVEMBER 9th Scarlet and Gray Family Weekend Breakfast 9:30 a.m. -11:30 a.m. Voo Doo Cafe and Lounge at the Rio Casino Resort Families will end the weekend by having breakfast on the 50th floor of the Rio Casino Resort. My name is Anisa Izzolo and I am the Director of CSUN Services for the 2003-2004 academic year. I act as a liaison between organizations and CSUN. We also have a CSUN Services Board that is in charge of approving organizations for recognition. Being associated with several organizations on campus, I hope to anticipate the needs of student organizations and to be a resource to you should you need any information or have questions. Enclosed is the CSUN recognition packet for Fall 2003; the packet must be submitted to the CSUN office, 3rd Floor MSU, on or before October 9th by 5:00pm. I encourage you to complete the packet before the deadline so that your organization can be recognized as soon as possible. Recognition will take approximately 2 weeks and you will be notified by e-mail, please read the following pages of instructions and requirements for more information. I have also included some questions that are commonly asked and their answers. Belonging to a student organization is a very important part of the college experience and you should be commended for taking on a leadership role in your organization. The first email will be a confirmation of receiving the recognition packet within 48 hours. The second email will be confirming the status of your organization within 48 hours of CSUN Services Board meeting. A certificate and letter of recognition will also be provided to the President of the organization after all has passed. Organizations that were recognized by CSUN during Spring 2003 To be recognized for the fall semester your organization must turn in a full packet with revisions made and submitted to the CSUN office on or before October 9, 2003, time stamped by 5:00pm. You are strongly encouraged to return the required information to the CSUN office as soon as possible to avoid a suspension in benefits and to receive funding since it is on a first come, first serve basis. It is also recommended that your organization fills out a completely new recognition packet with updates and changes made appropriately. The information session for the Fall will be held on Saturday, September 20, 2003 at 12:00pm in the Moyer Student Union room 201or Thursday, October 2, 2003 at 6:30pm in MSU room 201. Information sessions and tutorials for organizations are mandatory for ALL. Organizations that were recognized on probationary status during the spring semester must also fulfill the requirements that were not previously met in order to receive full recognition status from CSUN. Organizations that were NOT recognized by CSUN during Spring 2003 To be recognized by CSUN, your organization must fulfill all requirements set forth by CSUN and listed in this packet. (A sample constitution is available upon request.) There is a checklist included that lists everything that must be turned in to get full recognition. The packet must be turned in on or before October 9, 2003, time stamp by 5:00pm, on the 3rd floor of the MSU, though it will be beneficial to your organization to turn the packet in as soon as possible in order to start receiving benefits. Organizations that do not meet all of the requirements for recognition may, at the discretion of the CSUN Services Board, be accepted on probationary status. Probationary organizations will have all of the privileges of a CSUN recognized organization with the exception of eligibility for organizational funding. There will be a grace period when the CSUN Services Board will consider late packets after the due date, on a case by case basis. A letter stating why the packet is late must accompany late packets. Any organization may turn in a packet after the due date and receive all benefits offered by CSUN with the exception of funding for that semester. * CSUN, at any time, has the right to withdraw recognition from the organization if the organization breaks any CSUN, University, State or Federal policies. Mandatory Informational Session for Organizations An informational session has been put together to clear up any miss-understandings an organization may have about the recognition process through CSUN Student Government. We ask as part of the recognition process at least one member of the organization attend this meeting and sign in. It will be verified that this person is a member of the organization but it is up to this person to be reliable and relay the information back to the appropriate members of the group. For the Fall 2003 semester the informational sessions will be: Saturday, September 20, 2003 from 12:00pm to 2:00pm in the MSU room 201 another date has been set, if you can not attend the first one: Thursday, October 2, 2003 from 6:30pm to 8:30pm in the Mover Student Union room 201. Please make note that you must attend this meeting as important topics for your organization will be discussed including funding, risk management policies, the Cleary Act, involvement fairs, and much more. Mandatory On-Line Tutorial for Organizations Another addition to the recognition process includes an online tutorial that all organizations must complete before being recognized by CSUN Student Government. The home page offers links to many important details that, with time, can be overlooked by some; there are links to policies, forms, applications, and informational brochures on creating a more effective organization.
