    WA^S AND*MEANS COMMITTEE Monthly Report OCTOBER, 2001WHERE, WHEN:We have successfully negotiated with the Monte Carlo Hotel as our site for our annual Mardi Gras Ball. Thanks to Soror Tina Rimmey, who is employed with the Monte Carlo. The date is: Saturday, March 16. 2001.The Catering staff at the Monte Carlo has been working very diligently with Soror Tina and has settled for a price of $34.00 per person. This is $3.59 lower price that what we were charged at the Rio. Based on ticket sales of 400; that is an up front savings of $1,436. Our Deposit is $500 - when the contract is signed, (the Rio was a $1,000) We are being provided several items such as color tablecloths and alternating gold & purple napkins at no cost, 4 serving stations, 2 free carvers and carvers stations, 2 open cash bars @ $75 each, a lower price for the dance floor, no charge for the microphones and podium, no charge for the fire inspection; and a menu that is comparable if not better than the one offered to us at the Rio.BANDS:We also have several bands, one of the bands was used by the school association for a function that Soror Brenda Dumas attended and they charged $800. Soror Brenda will provide the committee with names before the next meeting. The committee has agreed that the total charge for a Band cannot or will not exceed $1,500.

    SOUVENIR JOURNAL:
    We will have another souvenir journal and we have secured a
    printing company (thru Soror Jackie Hall) that will print our color
    tickets and our souvenir journal for minimal cost.
    We would like to have our outside Front color cover Designed by a
    Soror or sorors. The committee will chose from the designs
    submitted for considerations. Our back outside cover will be in
    color and the price will be $300.
    LETTERS:
    We will be sending letters to other greek organizations and
    companies soliciting their support for full page ads. (If a soror has
    an organization, company or corporation they would like to submit
    for a letter to be sent, please give it to Soror Jackie or me - this
    will be for control purposes and thank you letter responses).
    TICKETS:
    The tickets will be increased to $75.00. Reason: For 4 years we
    have hosted the ball and we have not had an increase and in order
    to align ourselves with the rising cost of inflation, and to realize a
    profit, we can no longer offer our tickets at $65.00 with $45.84 of
    the total with taxes going toward the meal. The $10 extra dollars
    would allow the committee room for adjustments in other
    miscellaneous areas. We have trimmed our cost in all areas
    possible.
    Atemative to the ticket increase is an assessment of $100 per soror
    for a full page ad in the journal.

    TICKET & SOUVENIR JOURNAL FORM DISTRIBUTION :
    The tickets and the forms for the journal will be ready for
    distribution at our November 3rd sorority meeting. Hopefully, we
    will be able to get the forms in duplicate for record keeping ’
    purposes.
    We will use the same ticket method as last year with each soror
    signing or initialing next to their name for the number of tickets
    issued. Ticket & souvenir journal monies can be turned in to Soror
    Jackie or Soror Amanda each month at sorority.
    We (all sorors with computer skills) will prepare the lay-out and
    get our ads camera ready. However, we will ask that sorors attempt
    to have their ads camera ready when submitted.
